• Capital range or profit-sharing information

Private contact information is not intended to be publicly displayed through community profiles.

Where PROP OCEAN provides a consent-based contact feature, private contact information will only be disclosed when the applicable consent or disclosure conditions are satisfied.

We will not use verification materials for purposes unrelated to the reason for which they were collected unless otherwise permitted or required by law.

Capital Partners may be required to provide documents or other information reasonably necessary to verify their declared capital or financial capacity.

Such materials may include financial records or other supporting documents selected by the applicant.

PROP OCEAN uses these materials solely for purposes including:

• Capital Partner eligibility verification

• Eligibility renewal

• Fraud prevention

• Resolving verification issues

• Related administrative purposes

Capital Partner verification materials may be retained for the applicable eligibility period, up to six (6) months from verification.

Where a Capital Partner submits new verification materials for renewal, previously submitted verification materials will be deleted after the renewal verification has been completed, unless continued retention is required by applicable law or is reasonably necessary to resolve an ongoing dispute, investigation, security matter, or legal claim.

Capital Partner verification materials are not intended to be displayed to other community members.

Traders may submit records, screenshots, statements, or other evidence relating to Performance Rewards received through an applicable Olymptrade funded program.

PROP OCEAN may use these materials to:

• Verify Performance Reward records

• Confirm eligibility for verified community status or performance-related features

• Prevent fraudulent or misleading performance claims

• Resolve disputes relating to submitted verification records

Performance Reward verification materials may be retained for up to ninety (90) days after verification.

After that period, the materials will be deleted unless continued retention is required by applicable law or is reasonably necessary for an ongoing dispute, investigation, fraud review, security matter, or legal claim.

Verified information derived from the submission, such as verification status or an eligible performance record count, may remain associated with the member profile for as long as reasonably necessary to operate the applicable community or verification feature.

The original verification materials and the resulting verified profile information are therefore subject to different retention periods.

PROP OCEAN may send emails that are reasonably necessary to operate the service, including communications relating to:

• Account administration

• Applications

• Eligibility verification

• Performance verification

• Security

• Program status

• Member services

• Support requests

• Important changes to PROP OCEAN services or policies

These communications are service-related and are separate from optional promotional or marketing communications.

If PROP OCEAN introduces marketing communications, such communications will be sent only where permitted by applicable law and, where required, after obtaining appropriate consent. Users will be provided with a method to withdraw from optional marketing communications.

Withdrawal from marketing communications does not necessarily prevent PROP OCEAN from sending important transactional, security, account, or service-related messages.

Certain PROP OCEAN verification processes allow users to submit supporting materials through their preferred email service.

Where you choose to open an external email provider or application, the transmission of the email and attachments is handled through the email service selected by you.

Your use of that email provider is also subject to the provider's own privacy practices and terms.

PROP OCEAN does not control how an external email service processes information before the information is received by PROP OCEAN.

Users should ensure that the correct materials are attached and that unnecessary personal information is not included in verification submissions.

PROP OCEAN community features are designed to allow eligible Traders and Capital Partners to view and interact with other authorized members.

Information designated as community profile information may therefore be visible to other authorized members.

Users should not include highly sensitive or unnecessary personal information in publicly or member-visible profile fields.

Private information, including private contact details, is treated separately from community profile information.

Where a feature allows one member to request another member's private contact information, PROP OCEAN will not intentionally disclose that information unless the applicable consent and disclosure conditions are satisfied.

Members who obtain another member's information must use it only for the purpose for which it was made available and in accordance with the PROP OCEAN Terms & Conditions.

PROP OCEAN does not publicly disclose private personal information except as described in this Privacy Policy.

We may disclose personal information where reasonably necessary to:

• Provide and operate PROP OCEAN services

• Process authentication and account functionality

• Host and maintain website infrastructure

• Maintain security and prevent fraud

PROP OCEAN retains personal information only for as long as reasonably necessary for the purpose for which it was collected or as required by applicable law.

Retention periods may vary depending on the type of information.

• Account and profile information may be retained while an account remains active and for a reasonable period afterward where necessary for administration, security, fraud prevention, dispute resolution, or legal obligations.

• Capital Partner verification materials may be retained for up to six (6) months from verification, subject to the renewal process described above.

• Trader Performance Reward verification materials may be retained for up to ninety (90) days after verification.

• Security, fraud-prevention, dispute, and legal records may be retained for longer where reasonably necessary.

• Information may be deleted earlier where it is no longer necessary and no legitimate or legal basis for continued retention applies.

Where possible, information that no longer needs to identify an individual may be deleted, anonymized, or otherwise de-identified.

Where applicable data protection law requires a legal basis for processing personal information, PROP OCEAN may rely on one or more of the following:

• Your consent

• Performance of a contract or steps requested before entering into a contract

• Our legitimate interests in operating, securing, administering, and improving PROP OCEAN services

• Prevention of fraud, misuse, and unauthorized activity

• Compliance with applicable legal obligations

• Establishment, exercise, or defense of legal claims

Where processing is based on consent, you may withdraw that consent where permitted by law.

Withdrawal of consent does not affect processing that was lawful before the withdrawal.

Certain services may no longer be available if the information or consent required to provide or verify that service is withdrawn.
